Executive Committee

Chairwoman

Lead the Committee and ensure the Hong Kong Ladies Tennis League functions effectively and efficiently.

  • Provide leadership and strategic direction for the HKLTL.
  • Manage overall operations of the league.
  • Oversee and coordinate Committee functions including Executive Committee matters.
  • Secure adequate resources to facilitate the smooth functioning of the league.
  • Implement rules and processes to efficiently run the league and ensure an inclusive tennis community.
  • Communicate decisions, priorities, and direction to all members of the league.
  • Maintain systematic, transferable and user-friendly records that ensure HKLTL operational continuity.

Support the Chairwoman in ensuring the smooth functioning of the HKLTL Committee.

  • Organize all Committee and captains meetings including logistics and agenda.
  • Prepare and distribute the Agenda and Minutes of Committee and Captains’ meetings.
  • Follow up on action items after meetings to ensure their satisfactory completion.
  • Facilitate all communications from the committee to the broader league membership as well as the handling of all complaints and suggestions from league members to the committee.
  • Coordinate the league handbook publication and revisions.
  • Participate in Executive Committee decisions as they arise.
  • Maintain systematic, transferable and user-friendly records that ensure HKLTL operational continuity.

Oversee the financial administration for the HKLTL.

  • Manage the HKLTL bank account and financial transactions for league activities and fundraising.
  • Collect incoming funds from all league activities including registration, sponsorship and fundraising.
  • Reconcile HKLTL bank records against all money generating activities.
  • Prepare the HKLTL financial forecast and budget for the operation of the league.
  • Participate in Executive Committee decisions as they arise.
  • Maintain systematic, transferable and user-friendly records that ensure HKLTL operational continuity.

Manage the registration of teams and administration of the divisions.

  • Process team registrations in accordance with the HKLTL Rules and guidelines.
  • Maintain team lists and a player database.
  • Liaise with coaches for Coaches Assessments for new players.
  • Prepare season-ending result summaries across divisions and scenarios for team movements.
  • Prepare team lists and detailed court locations for the handbook.
  • Maintain captains’ contact list with team court locations.
  • Participate in Executive Committee decisions as they arise.
  • Maintain systematic, transferable and user-friendly records that ensure HKLTL operational continuity.

To make the HKLTL accessible to all Hong Kong women interested in playing tennis on a team.

  • Plan and execute HKLTL Open Day events to recruit players to the league.
  • Respond to all enquiries through Social media and our website.
  • Work with Division Representatives and Captains to facilitate the placement of new players.
  • Work with our coaching partners to form teams by bringing players at similar levels together.
  • Participate in Executive Committee decisions as they arise.
  • Maintain systematic, transferable and user-friendly records that ensure HKLTL operational continuity.

General Committee

Primary point of contact for captains and division liaison to the committee.

  • Represent division views in Committee meetings and communicate meeting outcomes to captains.
  • Act as the initial contact for captains for all division complaints and issues.
  • Be proficient in league rules and procedures to ensure efficient functioning of the division.
  • Publish weekly match results in a timely manner.
  • Assist the Registrar with annual team registration and ongoing maintenance of division team lists, match results and player statistics.
  • Assist the Scheduler with the match schedule for the upcoming season.
  • Maintain systematic, transferable and user-friendly records that ensure HKLTL operational continuity.
  • Plan, direct and supervise all social events for the HKLTL.
  • Organize social events that maximize league inclusion and connections.
  • Serve the community by fundraising for charities that align with the league.
  • Chair the social subcommittee which should include a minimum of five members.
  • Direct all event decisions including budget, programming, promotion and charity selection.
  • Ensure that events are self-funded and independent of the general HKLTL account.
  • Supervise events including decorations, fundraising, and vendor management.
  • Maintain systematic, transferable and user-friendly records to ensure operational continuity.

To manage all matters pertaining to the HKLTL Social Media presence.

  • Communicate HKLTL news with our followers in an engaging and informative manner.
  • Oversee all updates of the HKLTL website, Facebook and Instagram accounts.
  • Develop and present content across all accounts that aligns with and accurately reflects league objectives and values.
  • Create and communicate a consistent brand for the league by working with league partners, identifying trends, and understanding the broader tennis community.
  • Maintain systematic, transferable and user-friendly records that ensure HKLTL operational continuity.

Non-committee Roles

Support the Social Chair in all aspects of HKLTL event planning.

  • Assist with all event decisions including venue, theme and charity selection.
  • Organize social events to enhance relationships within the league and serve the community through fundraising for selected charities that align with the league mission.
  • Assist in all event decisions including venue, theme and charity beneficiary selection.
  • Aid in the set up and running of all events including decoration, fundraising, and vendor management.
  • Attend social subcommittee meetings.
  • The subcommittee should have a minimum of five members.
